These Terms and Conditions (“Terms”) govern your access to and use of https://hospitalmedsupply.com and https://sanctuarystrong.com (collectively, the “Sites”), operated by Hospital Med Supply, LLC (“Hospital Med Supply,” “we,” “us,” or “our”).

By using our Sites or purchasing products or services, you agree to these Terms.

All transactions made through the Sites are processed by Hospital Med Supply, LLC and will appear as Hospital Med Supply on billing statements.
2. Eligibility
You must be at least 18 years old to use the Sites or make a purchase.
3. Medical Disclaimer
Information provided on the Sites is for educational purposes only and is not medical advice. Products and training do not replace professional medical care or emergency medical services.
Purchasers and users are responsible for proper installation, inspection, maintenance, regulatory compliance, and use of any medical equipment purchased.
4. Training Disclaimer
Completion of training courses does not guarantee successful emergency outcomes and does not create a medical provider relationship between Hospital Med Supply, LLC and course participants.
Training provided through Hospital Med Supply is educational in nature and is intended to help individuals respond more effectively during emergencies.
Participants remain responsible for following local laws, employer policies, and recognized emergency response guidelines.
5. AED Maintenance Responsibility
Purchasers and users of AED equipment are solely responsible for ensuring that AED devices are properly installed, inspected, maintained, and kept in operational condition in accordance with manufacturer guidelines and applicable laws.
Purchasers are responsible for complying with all applicable federal, state, and local laws regarding AED registration, placement, maintenance, training requirements, and emergency response planning.
Many jurisdictions provide Good Samaritan protections for individuals who render emergency care using an AED. Users are responsible for understanding and complying with any legal requirements necessary to qualify for those protections.
Hospital Med Supply, LLC does not assume responsibility for ongoing inspection, maintenance, pad replacement, battery replacement, registration, or regulatory compliance unless expressly agreed to in a separate written service agreement.
6. Emergency Response Outcomes
Emergency response outcomes depend on many factors outside the control of Hospital Med Supply, LLC, including response time, medical condition of the individual, and actions of responders.
Hospital Med Supply, LLC does not guarantee that the use of any equipment, training, software, or emergency response plan will prevent injury, cardiac arrest, or death.
7. AED Placement Guidance
Any guidance provided regarding AED placement, emergency response planning, or preparedness programs is educational in nature and provided as general recommendations.
Final decisions regarding AED placement, emergency planning, staffing, and emergency procedures remain the responsibility of the purchasing organization.
8. Orders and Payments
We reserve the right to refuse or cancel any order at our discretion, including due to pricing errors, availability issues, or suspected fraud.
All prices are in U.S. dollars.
Payment processing fees charged by payment processors (such as credit card or electronic payment providers) are non-refundable. If a refund is issued, the original payment processing fee may be deducted from the refund amount.
9. Cancellations
Orders may be canceled prior to shipment by contacting [email protected].
If fulfillment or drop-ship processing has already begun, cancellation may not be possible.
10. Shipping
Shipping timelines and policies are governed by our Shipping Policy below.
Delivery dates are estimates and not guaranteed.
11. Returns and Refunds
Returns are governed by our Returns & Refunds Policy below.
12. Digital Products
All digital downloads, including e-books, audio books, guides, and electronic materials, are non-refundable once access has been granted.
13. Consultation Services
Consultation services are non-refundable once purchased.
Rescheduling requests must be submitted in writing at least 48 hours in advance.
14. Sanctuary Strong™ System (Bundled Program)
The Sanctuary Strong™ System is a bundled program that may include consultation services, digital downloads, and medical equipment.
All Sanctuary Strong™ System purchases are final sale and non-refundable.
Partial refunds are not available.
Equipment included within bundled programs is not eligible for individual return outside of the full bundled purchase.
15. Limitation of Liability
To the fullest extent permitted by law, Hospital Med Supply, LLC is not liable for indirect, incidental, or consequential damages arising from use of our Sites, products, or services.
Total liability shall not exceed the amount paid for the specific product or service giving rise to the claim.
16. Governing Law
These Terms are governed by the laws of the State of Ohio.
Any disputes must be brought in courts located in Hamilton County, Ohio.
17. Updates
We may update these Terms at any time by posting a revised version on the Sites.
18. Payment Disputes & Chargebacks
By completing a purchase on our Sites, you acknowledge and agree that:
1. You are authorized to use the payment method provided.
2. You have reviewed and agreed to our Terms, Shipping Policy, and Returns & Refunds Policy prior to purchase.
3. You understand applicable refund limitations, including final sale items and bundled program restrictions.
If you believe a charge has been made in error, you agree to contact Hospital Med Supply, LLC at [email protected] prior to initiating a chargeback or payment dispute with your financial institution.
Initiating a chargeback without first attempting resolution may delay the investigation and resolution of your claim.
If a chargeback is filed and later determined to be invalid, fraudulent, or inconsistent with our published policies, you agree that Hospital Med Supply, LLC may:
Provide documentation of your purchase agreement, delivery confirmation, digital access logs, consultation scheduling records, and policy acceptance to the payment processor
Seek recovery of chargeback fees and related administrative costs to the extent permitted by law
We reserve the right to restrict future purchases from customers who engage in repeated or abusive chargeback activity.
19. Government & Institutional Procurement
Hospital Med Supply, LLC sells products and services to government agencies, municipalities, schools, churches, and other institutions.
Unless otherwise agreed in writing through an authorized purchase order or contract signed by Hospital Med Supply, LLC:
All purchases remain subject to these Terms and Conditions.
Additional or conflicting procurement terms submitted by a purchaser shall not apply unless expressly agreed to in writing by Hospital Med Supply, LLC.
Payment terms must be agreed upon in writing prior to shipment.
Title and risk of loss transfer upon carrier pickup.
Products are subject to manufacturer warranties only, unless otherwise stated in writing.
20. Software Platforms and Applications
Hospital Med Supply may provide access to software tools, dashboards, or applications related to AED program management, emergency readiness, or equipment tracking, including but not limited to AED Command (the “Software”).
Hospital Med Supply grants users a limited, non-exclusive, non-transferable license to access and use the Software for internal organizational purposes.
Users are responsible for maintaining the confidentiality of their account credentials, for all activity occurring under their account, and for ensuring that account information provided is accurate and promptly updated.
Hospital Med Supply does not guarantee uninterrupted availability of the Software and may modify, suspend, or discontinue features at any time.
The Software is intended as an administrative tool and does not replace required AED inspections, maintenance obligations, regulatory compliance, or emergency response procedures.
Subscription Billing
Certain software services may be provided on a subscription basis. Subscription fees are billed in advance on a recurring basis (monthly or annually).
Subscriptions automatically renew unless canceled prior to the renewal date.
Subscription fees are non-refundable once the billing period begins.
Nothing in these Terms shall be interpreted to waive any rights or protections available under applicable Ohio law.
